Best trading journal for prop firms (2026)

Last updated: 29 September 2026 · by Kalmat Technologies

A buyer's guide for challenge and funded traders: what a prop firm trading journal has to do, the five ways challenges fail, and where Kalmat fits and where it does not.

What a prop-firm trader needs from a journal

A retail journal asks whether the trade was good. A prop account adds a question that matters more: is the account still alive. Five things end challenges:

  1. Daily-loss breach. The limit is crossed with a position still open, usually on one oversized trade.
  2. Drawdown breach. Trailing and end-of-day trailing drawdown move the line under you, and a static number in a spreadsheet is wrong by day two.
  3. Consistency rule. One big day is too large a share of total profit, and the payout is withheld.
  4. Revenge trading. A losing streak becomes a second, larger loss within the hour.
  5. Wrong lot size. A size copied from a bigger account, or a stop too far away, so one loss uses most of the daily limit.

A trading journal for prop firms should measure each of these live, warn before the line, and ideally refuse the trade that would cross it.

The buyer's criteria, and how Kalmat scores

CriterionWhat to look forWhat Kalmat does
Daily-loss limit Live headroom in money and in price, with alerts before the line. Breach Horizon: live headroom, the exact price at which each open position fails the account, alerts at 50, 75 and 90% of the limit.
Drawdown tracking The drawdown type your firm uses: static, trailing or end-of-day trailing, with breakeven lock. All three, with breakeven lock, plus minimum trading days and minimum profitable days.
Consistency rule How much more profit today before the rule breaks. Payout Cockpit: how much more profit today keeps the rule, a payout checklist, the next payout date.
Revenge trading A lock that stops the next order after a streak. Tilt-lock in the order gate after a losing streak; a psychology card and tilt meter track the pattern.
Lot size and stops Risk checked against the account balance before the order goes out. The gate requires a stop-loss and caps risk against the account balance. SL Integrity Guard alerts when an MT5 stop is widened or deleted.
Firm presets Your firm and programme already set up. 19 firms and 29 programmes, each with a reminder to verify the rules on the firm's own site.

Breach Horizon: drawdown tracking down to the price

Breach Horizon shows live headroom against the daily-loss and drawdown limits and, for each open position, the exact price at which the account fails. It alerts at 50, 75 and 90% of the limit, and the gate refuses an order whose stop would breach either.

Worked example (illustrative numbers, not a user's account). A $100,000 account with a 5% daily-loss limit, so the day's line is $5,000. Two closed trades lost $1,800 earlier. Headroom is $3,200.

The trader sends a buy of 2 lots of XAUUSD at 2,400.00 from Kalmat's Trade Ticket, where a $1 move in gold is worth $200 on that position. The stop is at 2,380.00, a $4,000 loss, more than the headroom, so the gate refuses the order. Resubmitted with the stop at 2,388.00, a $2,400 loss, it goes through to MetaTrader 5.

Once open, Breach Horizon shows the fail price: $3,200 divided by $200 per dollar is $16, so the account fails at 2,384.00 with the position still open. The stop at 2,388.00 sits above that, so it should trigger first. The 90% alert fires at $4,500 of daily loss, gold at 2,386.50, where Breach Shield on Elite can tighten the stop.

Firms define the daily loss differently; check the definition on the firm's own site.

Presets for 19 prop firms

Presets cover 19 firms and 29 programmes: FTMO, FundedNext, Funding Pips, QuantTekel (QT Funded), The5ers, MyFundedFX, E8 Markets, Alpha Capital, Goat Funded Trader, Blue Guardian, FTUK, Instant Funding, Maven, Topstep, Apex Trader Funding, Take Profit Trader, Lux Trading Firm, City Traders Imperium and DNA Funded.

Each preset carries the firm's daily-loss limit, drawdown type, minimum trading and profitable days, payout cycle and split, and the consistency rule where the programme has one. As an FTMO trading journal, the FTMO preset loads those objectives for the programme you pick; verify them on FTMO's own site.

Payout Cockpit

Passing is half the job. The Payout Cockpit shows how much more profit today keeps the consistency rule intact, a payout checklist and the next payout date. One large day can push the account over the consistency cap and hold up a payout.

The prop economics ledger

The ledger records evaluation fees, resets, refunds and payouts by firm, then computes ROI, pass rate per firm and account size, and a failure-reason histogram. After a few attempts, the histogram shows which failure is yours.

Rules before the broker: the order gate and the Shadow Book

Orders sent from Kalmat's Trade Ticket to MetaTrader 5, connected through MetaApi with the master password, pass your rules before the broker sees them: stop-loss required, risk capped against the account balance, tilt-lock after a losing streak, playbook hard rules and, for prop accounts, the stop-breach check above. A blocked order goes to the Shadow Book, which tracks it against live price to its would-be outcome and shows a monthly figure such as "rules saved you $1,240" (an illustrative example, not a user's result). See the sample Shadow Book.

cTrader: CSV import works today; live sync and orders are rolling out, pending Spotware's approval. Kalmat never places orders on Indian brokers.

SL Integrity Guard alerts when an MT5 stop is widened or deleted; strict mode restores the original stop from the cloud. MTM Guard adds a day target, a day stop, a trailing day stop and a kill switch that squares off everything.

Getting your trades in

MT5 and MT4 sync automatically through MetaApi with the read-only investor password. cTrader, Match-Trader, DXtrade, TradeLocker, Tradovate and NinjaTrader come in by CSV. Exports from TradeZella, TraderSync, Tradervue, Edgewonk and TradesViz import with notes, tags and MAE/MFE intact.

Frequently asked questions

Does Kalmat work as an FTMO trading journal?

Yes. FTMO is one of the 19 firms with presets, covering the daily-loss limit, drawdown, the consistency rule and minimum trading days. Connect MT5 or MT4 through MetaApi with the read-only investor password, or import a CSV, and verify the objectives on FTMO's own site.

Can Kalmat stop me breaching a daily-loss limit?

For orders sent from Kalmat's Trade Ticket to MetaTrader 5, the gate refuses any whose stop would breach the daily-loss or drawdown limit. Breach Horizon alerts at 50, 75 and 90% of the limit, and Breach Shield on Elite can tighten stops at 90%. Kalmat never places orders on Indian brokers.

Which prop firms have presets?

19 firms and 29 programmes, including FTMO, FundedNext, Funding Pips, The5ers, Topstep and Apex Trader Funding. The full list is above. Each preset reminds you to verify the rules on the firm's own site.

Do I have to give Kalmat my MT5 master password?

No. For journaling and drawdown tracking the read-only investor password is enough. The master password is needed only for orders from Kalmat's Trade Ticket, and it is typed on MetaApi's page, never on Kalmat's.
